Definitions

THE PLAIN is organised by PBLDSH LTD

All references to “PBLDSH LTD” include its staff, contractors, volunteers, partners, and any subsidiary services connected to THE PLAIN.

All References to the “Client” refer to participants and end‑consumers taking part in THE PLAIN or any associated activities.

All References to “Event” or “Events” refer to:

  • THE PLAIN main event and all route options

  • Any pre‑ or post‑event organised group rides

  • Any organised activities delivered within or alongside the Event (e.g., bike demos)

All references to “Rides” refer to supported group rides organised in the lead‑up to the Event.

1. Safety & Participation Requirements

1.1 Rider Responsibility

  • Clients must be self‑supported and carry the minimum required equipment.

  • Bikes and equipment must be safe and in working order.

    • Road bikes are not suitable.

    • E‑bikes must be UK‑legal EAPCs (pedals, motor <250W, assistance cuts at 15.5mph / 25km/h).

  • Clients must be physically and mentally capable of completing their chosen distance.

  • Changing or abandoning the route mid‑Event is at the Client’s own risk.

1.2 Mandatory Safety Rules

  • Helmets must meet BS EN1078 and carry a CE or UKCA mark.

  • Helmets must be worn at all times during the Event.

  • Clients must obey the Highway Code on public roads.

  • Clients must obey all signage and staff, including in restricted areas of Salisbury Plain Training Area.

1.3 Conduct & Environmental Responsibility

  • Clients must behave respectfully and avoid conduct that discredits themselves or the Event.

  • Respect other users of public rights of way, local communities, and the environment.

  • Littering is strictly prohibited and results in disqualification.

1.4 Emergencies & Abandonment

  • If a Client cannot call emergency services, staff or the public may call on their behalf.

  • Clients who do not complete the course must return to or contact the Event before closing.

    • Failure to do so may trigger a search, and associated costs may be charged to the Client.

1.5 Route Safety

  • Warning signs may appear at key points, but their absence does not indicate safety.

  • Clients must assess risks independently.

2. Liability, Waiver & Insurance

2.1 Participation at Own Risk

  • Clients participate entirely at their own risk.

2.2 Waiver & Indemnity

  • Clients waive, release, and discharge PBLDSH LTD and associated organisations (“the Entities”) from all claims arising from participation.

  • Clients indemnify the Entities against claims made by third parties due to the Client’s actions.

  • The waiver covers death, injury, disability, and property loss or damage, whether caused by negligence or otherwise.

  • Liability for one Entity does not automatically extend to others.

2.3 Insurance

  • PBLDSH LTD accepts no responsibility for loss or damage to personal property.

  • Clients are strongly advised to obtain personal and bike insurance.

  • Bike‑parking services are used at the Client’s own risk.

3. Media Rights

3.1 Photography & Recording

  • By participating, Clients grant PBLDSH LTD full, irrevocable worldwide rights to use Event photography, video, and audio recordings for promotional purposes without compensation.

4. Entry, Registration & Payments

4.1 Eligibility & Registration

  • Clients must be 18 or older on or before the Event date.

  • Entries must be made through THE PLAIN website using the Active Network platform.

  • By placing an order, Clients accept these Terms & Conditions.

4.2 Payments

  • All transactions are in GBP.

  • All balances must be paid in full before participation.

5. Changes, Transfers & Client Cancellations

5.1 Substitution

  • A Client may nominate a substitute up to 30 days before the Event.

  • No partial refunds.

  • Substitutions must be processed through Active Network.

5.2 Credit / Deferral

  • A Client may request a credit up to 30 days before the Event

    • 60+ days before the event - 75% credit

    • 30 - 59 days before the event - 50% credit

    • 0 - 29 days before the event - no credit

  • Credits may be applied to another edition of THE PLAIN.

  • Requests must be emailed to the official Event contact address.

  • If the new Event is more expensive, the Client must pay the difference.

  • No refunds if the new Event is cheaper.

6. Event Cancellation & Force Majeure

6.1 Cancellation by PBLDSH LTD

  • If the Event is cancelled for reasons not covered under Force Majeure, entry fees will be refunded.

  • Travel, accommodation, and personal expenses are not refunded.

6.2 Force Majeure

  • PBLDSH LTD is not liable for delays or cancellations caused by events beyond its control, including:

    • Extreme weather

    • Natural disasters

    • Pandemics

    • War or civil unrest

    • Strikes

    • MOD or governmental restrictions

7. Period of Sale

  • Entries remain on sale from launch until sold out.

  • A waiting list may be operated.

  • Entries are allocated on a first‑come, first‑served basis.

  • Information on how PBLDSH LTD manages personal data is available in the Event’s Privacy Policy.
